Let’s get the obvious out of the way first: we build one of the systems on this list. Most “top 10 software” articles you find for this search are written by a vendor who quietly puts themselves first and describes everyone else through their weaknesses. We would rather do the comparison openly: here are our criteria, here is what each system genuinely does well, and here is who we think each one is really for, including where it is not us. Every statement about a competitor comes from their public website or public directories as of August 2026; if something is out of date, tell us and we will correct it.
In short: for international language schools with host families and agency business, the specialised candidates are Fidelo and Class Systems; small local schools are better served by Teach’n Go, SchoolMate, Butlerapp (Germany) or Demiks; eBECAS owns Australia/New Zealand and Elsieapp the UK niche. The detailed cases (and the honest limits of each) follow below.
The criteria that actually decide it
Twenty years of working with language schools suggest five questions that separate these systems faster than any feature list:
- Does it cover the whole journey: enquiry → quote → booking → invoice → payment, or only the course list?
- Is accommodation a real module? Host families with availability, matching and billing, or a text field?
- Can agencies be connected properly, with portals and automatic commission accounting?
- Are the prices public? In this industry, surprisingly often they are not.
- What languages and what data-protection posture does your market require?

1. Fidelo: for international language schools and language-travel agencies
Yes, our own product: judge this entry with that in mind. The case for Fidelo in one paragraph: it is the only system on this list built as a product family across all three segments: international language schools (School), local schools and training providers (School Local) and language-travel agencies (Agency), with host-family management, agent commissions and multi-currency accounting as core modules, not add-ons. Every price is published, €20 to €95 per administrative user per month depending on package and volume, plus a one-off setup and training fee, with full volume tables and a calculator; students, teachers and agents are free and unlimited. That is genuinely rare: in a Wynter analysis of 50 B2B SaaS pricing pages, only 10% showed fully transparent pricing, while 62% gated it behind “contact sales”. The website is available in English, German, Spanish and French, the interface in English, German, French, Italian, Spanish and Turkish; the company is German (GDPR; hosting in the EU, or for customers outside the EU in their own region) and has served this market since 2005.
Limits: if you only need simple course booking for a small local school, Fidelo can be more system than you need. Some of the tools below are cheaper for that single job. You can try Fidelo free of charge with a demo access, plus a guided 30-minute demo.
Best for: schools with international students, accommodation and agency business, and for agencies themselves.
2. Class Systems: the established name
Class Systems has served international language schools since 1989 and cites 250+ schools as customers; among UK schools it is the incumbent most buyers already know, with strong named references. The trade-offs are structural: prices are quoted on request (the only public figure, on Capterra, is £2,000 per user per year), and website and product are English-only.
Best for: established schools that want the best-known incumbent and don’t mind asking for a quote.
3. Teach’n Go: the polished generalist for small schools
Teach’n Go (Ireland) has the smoothest self-service funnel in the niche (trial straight into the app, from €69 per month) and the strongest independent review base (Capterra 4.7 with 84 reviews as of 14 August 2026). It is a general school-management tool: what it does not advertise is the international layer with host families, visas and agent commissions.
Best for: small local schools without accommodation or agency business.
4. SchoolMate: the budget option in the EU
SchoolMate (Madrid) is a modular system for local language schools with an unusually aggressive price: the full module set costs roughly €75 per month for a school with up to 50 active students (per their public calculator), billed by active students with no contract, and there is a 30-day self-service trial. The limits are the mirror image: the model is capped at 1,000 students, and agency, junior-programme and group-travel depth is not part of the product.
Best for: price-sensitive local schools in Southern and Central Europe.
5. Butlerapp: the German local specialist
Butlerapp is the strongest German vendor in the local segment: a course and booking management system aimed squarely at the German market, with ISO 27001, German tax-compliance (GoBD) and e-invoicing badges and the densest review presence in the German-speaking market. It is the only system on this list that appears on OMR Reviews, a German review site (4.6 with 5 reviews; Capterra 4.7 with 9). Prices are public on the homepage, plans from €49 per month. There is one peculiarity worth knowing before you sign: on top of the flat rate comes a revenue-based booking fee (3% on the small plan, 2% on the mid-size plan, individually agreed on the large one). Website and interface are in German, and the international layer (host families, visas, agent commissions) is not its territory.
Best for: German local schools and course providers who want a German vendor with a compliance focus and accept a revenue-share pricing model.
6. eBECAS / EDMISS: the Australia specialist
eBECAS has served international colleges in Australia and New Zealand since 1986 and does something nobody else here does: government compliance reporting (CRICOS/PRISMS). Pricing is partially public (A$93–105 per user/month plus A$2,000 setup, as of August 2026). Outside AU/NZ its focus becomes its limit.
Best for: colleges and ELICOS providers in Australia and New Zealand.
7. Elsieapp: the UK niche veteran
Elsieapp (UK, since 2007) covers the international-school workflow (accommodation, agents, portals) with a radically simple price: £65 + VAT per admin account per month, everything included. It advertises automated British Council and English UK QUIC reporting, which no one else on this list names. Worth knowing: the public release notes and blog end in 2019, and there is no visible presence outside the UK.
Best for: UK ELT schools that want a simple per-seat price and local compliance reporting.
8. Demiks: the free starting point
Demiks (Canada, 2017) offers a free tier and a one-field signup, the lowest-friction way to move a very small school off spreadsheets. It is a young product with a small public footprint (two reviews at the time of writing), and the international layer (accommodation, agents) is not its territory.
Best for: very small schools taking their first step away from Excel.
What about agencies?
Two systems serve pure agencies well: Edvisor (Canada) as a quoting network between agencies and schools, and Agentcis (Australia) as an agent CRM with a free tier. Both are English-only and carry no school administration. If your operation combines agency and school business, or you want commissions to flow without re-entry between the two sides, that combination is exactly what Fidelo Agency plus Fidelo School were built for.
The short version
Choose Class Systems if you want the incumbent and don’t mind quote-only pricing. Choose Teach’n Go, SchoolMate or Demiks if you run a small local school without international operations: polished funnel, lowest price, or free start, in that order. Choose Butlerapp for a purely German local school if German compliance badges matter more to you than fixed pricing without a booking fee. Choose eBECAS in Australia/NZ and Elsieapp in the UK for their local compliance strengths. And choose Fidelo if your school depends on international students, host families and agency partners, or if you are an agency yourself. The fastest way to test that claim is a 30-minute demo plus free demo access, and every price is already public.
